This feature allows you to create and save various quotations associated with a project.
To view the list of saved quotes, select ‘Show Saved Quotes’ from the ‘View Settings/ Options’ (eye) menu.
The quote history window is displayed at the base of the project overview window.
Create and save a quote
- Select your Project Quote View.
- Create a new quotation by adding one or multiple virtual bookings.
- To save the quote, press the "Save" button at the bottom of the window
- Define a name for the quote.
- In the next window you can also add a note for the quote.
Your quotation will appear in the quotation history list at the bottom of the "Edit Project" window.
You can display/ look at a saved quotation by clicking on the entry from the history list. The quotation details (Name & Note at the top, Project Custom fields to the lest) will appear in the main project overview but can't be edited. To actively change a saved quotation it has to be loaded to the actual view.
To rename a quotation, click on it and then press the "Rename" button. Enter the new name for the quotation.
To delete a quotation, click on it and then press the "Delete" button.
Editing a saved quote / Load to current
To modify a saved quote, click on the little drop down arrow in the name field of the saved quote and select Virtual Bookings > Load To Current. A warning message will appear:
"Confirm Modifying Current With Saved Quote This Change Cannot Be Undone!"
With this, the current selection in you quote view will be replaced with the saved ones.
To EDIT the "loaded quote" press the "Close" button.
Now the "active (loaded) quote" can be edited again.
Saved quotes and Custom Fields
Each saved quote can have different Custom Fields. When you save a quote, the Project Custom Fields with its information at that moment are saved with the saved quote.
If you want to make changes on the current custom fields information and apply to a saved quote, click on the drop down arrow, see picture above, and select "Save From Current".
You can also load a saved quote to current and with this you want to load its Custom Fields content to the current view to be able to further edit. Select "Load To Current" from the drop down arrow under "Custom Fields".
Saved Quotes are just snap shots, used for keeping an audit trail of all quotations related to one project. They can’t be re-edited or re-used in other projects. If you want to save a quotation as a ‘Template’ to re-apply it to other projects, you need to save your ‘Virtual Bookings’ as ‘Virtual Booking Templates’.
In some workflows you want to invoice your quote 1:1. This can be achieved by setting the "Invoice" view to include Virtual Bookings.
HOWEVER when you invoice a quote / set of virtual bookings, they will be marked as "Invoiced".
BUT if you later load a saved quote to current, the previous "invoiced" Virtual Bookings disappear and the new added / loaded quote have the "Invoiced" flag set.
Therefore in this workflow we recommend to create a NEW PROJECT when you want to create variations/versions of quotes and invoice multiple of the saved quotes over a period of time.
Note: The Budgeting Option in farmerswife allows you to keep and easily overview multiple quote versions and also invoice them individually.
