There are four types of categories within Contacts: Clients, Resources, Globals and Privates.
Privates:
- User’s own private contacts
- These contacts are not shared
- Each Advanced User creates, views and modifies its own private contact list
Globals:
- Your companie’s suppliers
- FW users’ details are stored in Contacts under Globals category
- These contacts can be viewed by Advanced and Web Users
- Advanced Users can create, delete and modify them
- Web Users cannot create nor delete them, but can modify them (controlled by User Permissions)
Resources:
- Your freelancers (since this category allows you to establish Activities, etc.)
- These contacts can be viewed by Advanced and Web Users
- Advanced Users can create, delete and modify them (controlled by User Permissions)
- Web Users cannot create nor delete them, but can modify them (controlled by User Permissions)
Clients:
- These contacts can be viewed by Advanced and Web Users
- Advanced Users can create, delete and modify them (controlled by User Permissions)
- Web Users cannot create nor delete them, but can modify them (controlled by User Permissions)
When you create a new Contact you need to place it under one of these four categories: You can prevent Advanced Users from modifying some fields in Clients contacts by blocking them in the Server Setup. This setting also blocks the Type drop-down menu in the Contact window.
Please note that this setting only blocks Client Contacts and does not block Resources, Globals or Privates. It was conceived for companies using an external financial software in conjunction with farmerswife and don’t want their Client Contacts to be modified in farmerswife, but in the financial software. Advanced Users can still create and rename Clients (if related settings are enabled, in Server Setup > Contacts tab), but once saved they cannot modify the blocked fields: In the Server Setup (see above) we had blocked Company, Company ID and Address fields:
